How to Create a Team and a Sub-team Record in Broker Bridge

A Team in Broker Bridge is the structural container that holds people inside a franchise. Every franchise must have at least one team. A franchise cannot directly hold people. Even a brokerage with a single broker and no formal organizational structure needs a team record. This is a hard rule built into the platform.
Sub-teams are an optional layer. A team uses sub-teams when it needs internal divisions, often by physical location, specialty, or reporting line. A person can sit directly inside a Team or inside a Sub-team. Both are valid.
This document covers both Team and Sub-team creation. The two share the same workflow. A single toggle on the form decides which one you are creating.
The instructions below walk through the shared fields first, then the toggle, then the path that follows from each option.
Before starting, confirm three things:
The Associated Franchise exists. If the franchise has not been created yet, create it first using the franchise creation guide.
The Team Lead for Team(s) and Sub-Team(s) must exist as a Person record in Broker Bridge. Each team and sub-team must be assigned a Team Lead.
If creating a sub-team, the parent team must be created first. Sub-teams cannot be created in isolation. The parent team must already exist and be Active.
Step 1: Open the Add Team Flow
Log in to Broker Bridge. From the left sidebar, click Team to open the Manage Team page, which lists every team and sub-team in the network.
Click Add New in the top right corner to start the creation flow.

Step 2: Team Basics
Team and Sub-team creation happen on one page. The page has the following sections: Team Basics, Associated Franchise, and the sub-team toggle followed by Address.

Enter the following fields:

Team Name (Required). The name of the team. It can be unique to distinguish one team from others within the same brokerage (for example, "Branch Office 1 - Downtown Toronto") or generic for a franchise that has only one team. Free-text input.
Team Lead (Required). The person who leads this team. Start typing a name and the dropdown will populate with matching Person records. Select the right one. The Team Lead must already exist as a Person record. This is enforced by the platform.

Legacy ID. Optional. The team's identifier in the legacy intranet system. Not every team has one. If it does, capture it now.
Region (Required). A dropdown filtered to show only the regions relevant to the network. Each network operates in different parts of Canada, so the region list varies. Select the region this team operates in.
Effective Date (Required). The date the team officially begins its operations.
Step 3: Associated Franchise

This is where the team is attached to its parent franchise.
Franchise (Required). Start typing the franchise name. The dropdown searches across all Franchise records in the system. Select the right one.

Once the Franchise is selected, two additional fields appear automatically:
Franchise Licence (Required). A dropdown populated with the licences that exist on the selected franchise record. Each entry shows the registration number and province. Select the licence under which this team will operate.
Licence Address (Required). A dropdown populated with the addresses associated with the selected licence. Select the address that applies.

Notes for Ops:
The team is tied to one specific licence, not just to the franchise. A franchise can hold licences in multiple provinces. The Franchise Licence dropdown forces Ops to choose which licence governs this team. Pick carefully. The wrong choice has compliance and reporting consequences.
Step 4: The Sub-team Toggle
This is where the workflow forks. The toggle answers a single question: are you creating a Team or a Sub-team?
Toggle on No = creating a Team. Continue to the Address section below to enter the team's operating address.
Toggle on Yes = creating a Sub-team. A new Team dropdown appears asking which parent team this sub-team belongs to. The Address section behaves differently and will be covered separately below.
Follow the path that matches your task.
Path A: Creating a Team (toggle on No)
Leave the Is this a sub-team? toggle on No.
Enter the team's operating address in the Address section:
Street Number (Required)
Street Name (Required)
Extension (Optional, for a unit or suite number)
City (Required)
Province (Required, dropdown)
Postal Code (Required)
If the team operates from the same physical address as the brokerage, enter the brokerage's address here. There is no "same as franchise" shortcut on this form. The address must be typed every time.

Once all required fields are filled, the Create Team button activates. Click it to commit the team record.
Path B: Creating a Sub-team (toggle on Yes)
Toggle Is this a sub-team? to Yes.
A new field appears below the toggle:
Team (Required). A dropdown populated with the teams associated with the franchise you selected in Step 3. Each entry shows the team name and its current status in brackets. Select the parent team this sub-team belongs to.

Once the parent team is selected, the Address section behaves automatically:
A note appears at the top of the Address section: "If this team is classified as a sub-team, the above team's address will automatically be used for this sub-team."

The address fields cannot be edited. Sub-teams always inherit their parent team's address

Click Create Team to commit the sub-team record.
Notes for Ops:
Sub-team addresses are not editable by design. A sub-team is a structural subdivision of its parent team, and the platform treats them as operating from the same physical location. If a "sub-team" needs a different address, it is most likely a team rather than a sub-team. Reconsider the structure before proceeding.
The dropdown only shows teams from the selected franchise. This is the platform enforcing that a sub-team must sit inside the same franchise as its parent team. The Team dropdown will not let you pick a team from a different franchise.
After Clicking Create Team
The Confirmation Page
A confirmation page appears with the message that the team (or sub-team) has been successfully added as Pending.
Two buttons appear on the confirmation page:
Team Manager. Returns to the Manage Team list. Use this when creating multiple team records in sequence.
View Team. Opens the new team record directly. Use this when you want to verify the record or move straight into activation.
What "Pending" Means
The new team record exists in Broker Bridge but is not yet Active. Creation and activation are two separate actions. A Pending team is not fully functional until Ops explicitly activates it.
This is the same pattern that applies to Person and Franchise records. All four record types in Broker Bridge (Person, Franchise, Team, Sub-team) are created in Pending status by default. Ops controls activation at every stage.
Activating the Team or Sub-team
To activate the record:
Open the Team Profile. From the Manage Team list, click the team's name to open its profile. Alternatively, click View Team on the confirmation page.
Change the Status to Active. In the top right corner of the profile, click the dropdown arrow next to the PENDING status indicator. Select Active. The team is now activated.
Notes for Ops:
Activation is a manual decision, not automatic. Even after the form is submitted and the record is created cleanly, the system waits for Ops to explicitly click Active. This gives Ops one final point of control before the team becomes fully functional and visible across the platform.
Activate the parent team before the sub-team. A sub-team should not be activated while its parent team is still Pending. The hierarchy reads cleanest when the parent record is fully Active before the children are activated.
Quick Reference: Ops Checklist
Before clicking Create Team, verify:
Team Name is descriptive and consistent with naming conventions for the franchise
Team Lead is selected and exists as a Person record
Legacy ID entered when available
Region matches where the team operates
Effective Date matches the team's actual start date
Associated Franchise is correct and the right Licence and Licence Address have been selected
For a Team: the address is entered correctly
For a Sub-team: the correct parent team has been selected and the inherited address makes operational sense
After clicking Create Team:
Confirmation page appears
New record visible in Manage Team list with Pending status
Open the profile and change status from Pending to Active when ready
For sub-teams: confirm the parent team is already Active before activating the sub-team
